Add a source institution

Add source institutions to define the schools your institution accepts transfer credits from. Each source institution can have its own credit multiplier, grade mappings, and policies.

Navigate to institutions

1. Sign in to Stellic.

2. From the left navigation, click Transfer.

3. Select the Institutions tab.

4. Click Create new.

Basic information

Field	Description
Institution name	Official name as it appears on transcripts
Alias	Alternative name or abbreviation
IPEDS code	Federal identification code (look up IPEDS codes)
CEEB code	College Board identification code
External ID (optional)	Internal tracking number your system uses
Website	Full URL to the institution's homepage

Campus locations

Click + Add another campus to add campus locations. Include all relevant campuses.

Use the Notes field for any additional context about this institution.

Credit and version configuration

Field	Description
Credit multiplier	Converts credits between calendar systems (e.g., 0.66667 for quarter-to-semester). See Transfer policies for details.
Begins	Date this institution configuration takes effect
Deadline	Date this configuration expires (optional)
Course duration limit	Maximum years courses remain valid for transfer

Changing the credit multiplier after equivalency rules exist invalidates those rules. You'll need to review all transfer pathways for this institution.

Grade and credit settings

Grade mapping

Select or create a grade mapping system for this institution. This converts the source institution's grades to your grading scale.

Setting	Description

Min grade / Max grade	Acceptable grade range for transfer credit

Credit range

Setting	Description
Min units / Max units	Acceptable credit range for courses from this institution

Default tags and attributes

These tags are automatically applied to students, enrollments, or courses from this institution.

Field	Use
Student tags	Tags applied to students transferring from this institution
Enrollment tags	Tags for tracking enrollment patterns
Course attributes	Default attributes for courses from this institution

Click Enter [tag type] to add tags.

Save the institution

Click Create in the top right. The institution is now available for transfer credit processing.

Use accurate IPEDS and CEEB codes to ensure proper institution identification and streamline transcript processing.
