Overview
Stellic's transfer credit management helps institutions manage credits from courses and exams students completed at other institutions. You can:
Create equivalency rules for courses and exams
Set transfer policies at the institution and source-institution level
Review and approve student-submitted transcripts
This section is for transfer evaluators, registrar staff, and administrators who manage equivalency rules and review transfer submissions.
Prerequisites
Before setting up transfer credit management, your institution must have:
Student Information System (SIS) integration - Connection to existing student records
Course catalog - Access to current course offerings and requirements
Initial data import
Stellic can perform an initial import of equivalency rules and institution definitions using feed files.
This is a one-time import, not an ongoing sync. The import is designed for initial onboarding only - reloading a file deletes all existing rules.
After initial setup, use Stellic for all ongoing maintenance. You can also skip the import entirely and build equivalency rules directly in the interface.
Getting started
Once your data is integrated, you'll typically:
Configure transfer policies - Set institution-wide defaults and source-specific overrides
Add source institutions - Define the schools and exam providers you accept credits from
Create equivalency rules - Map external courses and exams to your institution's credits
Set up permissions - Control who can review and approve transfer submissions
With this foundation in place, staff can review incoming transfer submissions, match them against existing equivalencies, and identify when new rules or institutions need to be added.
