Create course equivalency rules
Equivalency rules define how courses from source institutions translate to credit at your institution. When students submit transcripts, Stellic uses these rules to automatically award matching credits.
Before you begin
You must add the source institution before creating equivalency rules for its courses.

Navigate to equivalencies
Sign in to Stellic.
From the left navigation, click Transfer.
Select the Equivalencies tab.
Click Create new.
Select New rules with a school.
In the Source Institution field, search for and select the institution.

Add the source course
Choose one of two methods:
Option A: Add a specific course
Use this when creating a rule for a single, specific course.
Course code
The course identifier at the source institution (e.g., BIO 101)
Course title
Full course name
Course topic
Subject area or topic designation
Click Add Course to save.
Option B: Add a course pattern
Use this when creating rules for multiple similar courses at once—for example, all 100-level math courses.
Enter the course pattern (e.g.,
MATH 1*for all courses starting with MATH 1).Click Add Course to save.
Tip: Course patterns are useful for departments where many courses transfer as elective credit without needing individual rules.
Map to your institution's course
In the Home Institution section, select the equivalent course at your institution.
Tag type (optional)
Description
Student tags
Applied to students who receive this equivalency
Enrollment tags
Applied for enrollment tracking
Course tags
Applied to the transferred course record
Set rule parameters
Effective dates
Date range this equivalency is valid. Can start in the past and be set to indefinite or a specific end date. Use Autofill from version to match the source institution's version dates.
Grade range
Minimum and maximum grades accepted (e.g., C to A)
Unit range
Minimum and maximum credits the source course must have
Course age
How recent the course must be. Set a specific year limit or allow any age.
Add notes (optional)
Default notes for when articulated
Visible to all users who can see the equivalency
Private notes
Visible only to users with edit access
Use notes to document decision rationale or special conditions.
Save the rule
Click Save in the top right. The equivalency rule is now active and will be applied to matching transcript submissions.
