Review transfer submissions

When students submit transcripts, their courses appear on the Transfer tab of their student profile. Courses are automatically sorted into two categories based on whether existing equivalency rules apply.

Access a student's transfer submissions

  1. Sign in to Stellic.

  2. Search for and open the student's profile.

  3. Click the Transfer tab.

You'll see transcripts organized by source institution. Each transcript displays:

  • The institution name

  • Credential types (certificate, associate's degree, etc.)

  • Individual courses and their review status

No equivalency rule exists for this course

Manually search for and assign a target course

Review courses with rules applied

When a course already has a matching equivalency rule:

  1. Click the course to view the applied mapping.

  2. Verify the target course, grade, and credits are correct.

  3. If something looks wrong, click Edit to make changes.

  4. Change the status to Complete.

  5. Click Lock to prevent future rule changes from affecting this articulation.

Why lock? If you update an equivalency rule in the Transfer tab later, that change will override any unlocked articulations. Locking preserves the awarded credit as-is.

Review courses that require manual evaluation

When no equivalency rule exists:

  1. Click Edit next to the course.

  2. In the sidebar, search for the appropriate target course at your institution.

  3. The system pre-fills the grade and credits based on your grade mapping and the student's transcript.

  4. Adjust the articulated term if you need to backdate the credit.

  5. Add any enrollment tags or course attributes as needed.

  6. Choose how to save:

    • Save articulation — Awards this credit to the student only

    • Save and create new — Awards the credit and creates an equivalency rule for future students

Complete and lock articulations

Marking an articulation as Complete awards the credit to the student. The course then appears in their degree audit.

Locking the articulation protects it from future changes to equivalency rules. We recommend locking all completed articulations.

Edit transcript details

If you notice errors in the uploaded transcript (wrong institution, incorrect course info):

  1. Click Edit on the transcript

  2. Make corrections as needed

  3. Save your changes

Stay on top of pending reviews

Stellic doesn't currently send automatic notifications when new transcripts arrive. To track pending work:

  1. Create a saved report which is filtered by Number of pending articulations.

  2. Enable Track and notify to receive alerts when students are added to the report.

This helps you catch new submissions without manually checking student profiles.
